The position of Operation Admin Assistant will be responsible to performs administrative and clerical duties for the Operations Department. Operations Assistant will report directly to the General Manager and play and extremely important roll. This position will be responsible for providing a wide variety of administrative and clerical support to the department and acts as a first point of contact for internal and external queries.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
The Operations Assistant responsibilities include but are not limited to:
· Answers all incoming calls professionally and courteously and redirects them appropriately.
· Assist employees and managers directly with routine inquiries.
· Responsible for recruiting janitorial employees.
· Responsible for screening and interviewing for temporary and permanent positions.
· Responsible for hiring temporary and permanent employees.
· Responsible for dispatching temporary employees to cover temporary vacant positions.
· Conduct New Hire Orientations for Temporary and Permanent employees.
· Order Uniforms and Maintain Inventory for Permanent and Temporary Employees.
· Order office supplies and maintain supply stock for department.
· Verify past Employment on Applicants.
· Record and Maintain the Applicant log.
· Maintain and update Temporary List.
· Payroll - Assure that all Temporary employees are paid timely.
· Distribute Temporary employee's paychecks to their current working locations.
· Postings - Post Permanente and Assigned temporary positions with Union.
· Staffing Request - Request staffing list from the Union.
· Responsible maintaining the Fuel Reports.
· Responsible for maintaining the Gas Card reports.
· Pagers - responsible in activating pagers and maintain reports and invoices.
· Perform word processing duties for the department that may include the creation of memos, correspondence, reports, and presentations.
· Online marketing.
· Relieve Receptionist when needed.
· Open to needs or special project requests by Management or the Company.
· Input data into spreadsheets, databases, or other departmental systems.
· Oversee incoming and outgoing mail distribution.
· Maintain departmental files and may coordinate off-site storage.
